Email Templates for Unsuccessful Applicants
It can seem like a daunting and time-wasting task, however getting back to everyone who applied for your virtual role:
- Is excellent for your brand reputation;
- Increases the likelihood of applicants applying for future roles;
- Will reduce the number of follow-up emails hitting your inbox; and
- Is good manners!
Too time-poor?
That is why you set out to hire a virtual assistant or online business manager!
Ask your new team member to get back to everyone for you.
Email templates
This task can be made quick and simple by having a pre-written template ready to go. We are here to help make it super easy for you (or your new VA) to respond to all applicants.
Feel free to use either of the following email templates we’ve created for you:
TEMPLATE 1 – SHORT EMAIL
Hi {{FIRST NAME}}
Thank you for your application for our XXX role.
We’ve been inundated with applications and were very impressed with the quality of proposals sent through.
Unfortunately, we are only in a position to hire one person and have made the tough decision to proceed with another applicant.
I appreciate the time you took to apply for this role.
Kind Regards,
{{YOUR NAME}}
TEMPLATE 2 – LONG EMAIL
Hi {{FIRST NAME}}
Thank you for your application for our XXX role.
We’ve been inundated with applications and were very impressed with the quality of proposals sent through.
Unfortunately, we are only in a position to hire one person and have made the tough decision to proceed with another applicant.
We do get requests for feedback, so here’s a quick reminder on the role requirements we listed:
- An established virtual assistant (VA) or online business manager (OBM);
- Already work full-time in your VA / OBM business;
- Have 5+ years of experience in a relevant role;
- Based in Australia; and
- Have excellent English, grammar and communication skills;
As mentioned, we received a LOT of applications that did tick all of these boxes – if your application did, and you still received this email, then unfortunately this has meant that we’ve compared your application to the others we’ve received and made the hard call to keep our current shortlist in place.
I appreciate the time you took to apply for this role.
Kind Regards,
{{YOUR NAME}}
